Cancellation policy
Abstract Processing Charge (APC)
APCs are not refundable in case of an abstract withdrawal, rejection, double submission, or conference cancellation. The charges collected cover the cost to process the abstracts, whether or not one attends the meeting or the conference takes place.
Registration fee
- Cancellation requests must be emailed to Copernicus Meetings. Cancellations of registrations made before 31 May 2022 will be fully refunded, minus €50 to cover administration costs. Participants cancelling their registration before 31 July 2022 will receive a 50% refund, minus €50 to cover administration costs. For cancellations after 1 August 2022 there will be no refund of registration fees.
- Refunds will not be granted in case of failure to secure a visa for travelling to Portugal. The organizing committee reserves the right to make the final decision on a case-by-case basis for granting a refund in extenuating circumstances. Check your travel insurance policy to see if it covers problems with obtaining a visa.
Important note
We are entitled to cancel the event or postpone it in the case of Force Majeure (such as pandemic, natural disaster, public measures, as well as operational disruptions). Participants will be refunded 60% of all registration payments, minus a €50 administration fee, if the event is not going to take place; further claims by the participant are excluded in this case.
